Refund & Cancellation Policy
Vrexo LLC. Effective date: May 4, 2026.
This policy governs billing, cancellations, and refunds for all Vrexo LLC subscription plans. By subscribing to the Vrexo platform, you agree to the terms set out below.
- All plans are billed in advance at the start of each billing period.
- Monthly cancellations require 30 days written notice before renewal.
- Annual cancellations require 60 days written notice before renewal.
- Fees are non-refundable; no prorated credits for unused time.
1. Overview
Vrexo LLC provides a cloud-based autonomous operations platform for managed service providers on a subscription basis. Because the platform is provisioned, configured, and reserved exclusively for each customer at the start of each billing period, all fees are collected in advance and our refund policy reflects the nature of software-as-a-service infrastructure commitments. This policy applies to all Vrexo subscriptions and supersedes any prior representations made by sales personnel unless documented in a signed order form.
2. Advance billing
All Vrexo subscription plans are billed in advance at the beginning of each billing period. Monthly plans are invoiced on the first day of each calendar month. Annual plans are invoiced on the anniversary date of the subscription start. By subscribing to Vrexo, you authorize Vrexo LLC to charge the payment method on file at the beginning of each billing period without further notice. Invoices are sent to the billing email address associated with your account. If you believe an invoice contains an error, contact billing@vrexohq.com within 10 business days of the invoice date.
3. Free trial
New customers may evaluate the Vrexo platform during a 30-day guided trial at no charge. No payment information is required during the trial period, and no charges are initiated without your explicit consent to a paid plan. At the end of the trial, your account transitions to inactive and no fee is assessed unless you enroll in a subscription.
4. Cancellation policy
You may cancel your Vrexo subscription at any time by providing written notice to billing@vrexohq.com. To be effective for the upcoming billing period, cancellation notice must be received at least 30 days before the end of your current billing period for monthly plans, and at least 60 days before the renewal date for annual plans. Cancellations submitted after these deadlines take effect at the end of the following billing period and the intervening period will be charged at the standard rate. Upon cancellation, your account remains active through the end of the paid period. Access is terminated and data is deleted within 30 days of the end of the final paid period.
5. No prorated refunds
All fees paid are non-refundable. Vrexo does not issue prorated refunds for partial use of a billing period, including in cases where you cancel mid-cycle, reduce your seat count, or downgrade your plan. This applies to both monthly and annual subscriptions. If you cancel an annual plan partway through the year, you will retain access through the end of the annual term but will not receive a refund for unused months. The rationale is that infrastructure and capacity are provisioned in full at the start of each term on your behalf.
6. Exceptions
Vrexo will issue a full or partial refund in the following limited circumstances: (1) Vrexo terminates your account without cause during a paid period — in this case you are entitled to a prorated refund for the unused portion of that period; (2) you are charged due to a billing error caused by Vrexo — the overpayment will be credited or refunded within 10 business days of confirmation; (3) applicable law in your jurisdiction requires a refund right that cannot be waived by contract — in that case the minimum legally required remedy applies. To request a refund under one of these exceptions, contact billing@vrexohq.com with your account information and the reason for the request.
7. Plan upgrades and downgrades
You may upgrade your plan at any time. Upgrades take effect immediately and the difference in plan fee is prorated for the remainder of the current billing period. Downgrades take effect at the start of the next billing period; no credit is issued for the current period. Downgrading to a plan that does not include a feature you are currently using will disable that feature at the start of the next billing period.
8. Chargebacks
If you initiate a chargeback or payment dispute with your financial institution without first contacting Vrexo at billing@vrexohq.com, Vrexo may suspend your account pending resolution and may charge a fee to cover dispute handling costs. Vrexo will cooperate with your payment processor to resolve disputes. Accounts with unresolved chargebacks will not be reinstated until the matter is settled.
